Every retail brand faces predictable challenges as it scales online. These are the ones I have addressed first-hand, and how I resolved them.

Stage 1

Launch

Establishing a strong digital foundation.

Problem: "We don't have a robust online store."
What I did:

Built complete e-commerce operations from the ground up: web store, iOS and Android apps, warehousing, product listings and customer service.

What I did:

Mapped the end-to-end order flow, then integrated the store with the ERP, payment gateways and delivery partners. Sales invoices are now generated automatically in line with ZATCA e-invoicing requirements, and financial reporting updates in real time.

I launched an AI-powered assistant on WhatsApp, the channel customers already use every day. Available around the clock in Arabic and English, it guides customers from enquiry to order, payment and returns without waiting for an agent.

Why I built the YSS Operating System.

YSS Hospitality operates two distinct businesses: Omarieden, a luxury retailer across fashion, home, jewellery and fragrance, and Super Botanical, a specialty café. Both need clear visibility of what is selling, what things cost and whether daily operations are on track. I designed a single system that delivers all three.

Before

Fragmented spreadsheets

Buying, shipments, stock counts and sales reporting were managed in spreadsheets circulated by email. Each team worked from its own version, with no single source of truth.

The decision

Build, don't buy

Off-the-shelf tools were rigid and designed for other businesses. We needed software built around how our teams actually operate, across luxury retail and F&B.

One platform, every team

Role-based access gives each person only what they need, every action is logged, and full documentation means the system can be maintained and restored without an external vendor.

Module 1

Buying

The problem
Brand orders were held in separate Excel files by brand and season, with no consolidated view of spend against budget.
What I built
A central record of every order by brand and season, with line-level detail for each style, colour and size. Orders import directly from supplier spreadsheets, and PO numbers are generated automatically.
What changed
Buyers track budget utilisation at a glance and issue size grids, line sheets and order confirmations to brands as PDFs.

Module 2

Product master data

The problem
Product details were re-keyed from buying files for the website, causing errors, particularly in Arabic content.
What I built
A master data layer on top of purchase orders, where the team enriches each product with category, materials, origin, pricing and English and Arabic descriptions. Spreadsheet imports are previewed before any change is applied.
What changed
Products move from purchase order to online listing without re-keying, with field-level permissions controlling who can edit what.

Module 3

Logistics

The problem
Shipment updates and customs documents were scattered across email, and costs were often recorded late or missed entirely.
What I built
Orders marked ready by the buying team convert automatically into shipments. Each stage requires its documents and costs before it can advance, with a full audit trail.
What changed
No shipment proceeds without its customs documents or freight costs, and order status updates automatically for the buying team.

Warehouse receiving

The problem
Deliveries were checked on paper, so discrepancies and damage were often identified weeks later.
What I built
A mobile receiving flow where staff scan and count incoming stock, photograph cartons and flag missing or damaged items.
What changed
Discrepancies are captured on arrival, and each delivery closes with a variance report, photos included.

Reports

The problem
Monthly sales reports were compiled manually, arrived late and could not show whether the buy was right.
What I built
Live dashboards for sales KPIs, brand and customer performance, and bought-versus-sold analysis by brand, size and colour, exportable to Excel and PDF.
What changed
The team identifies what to reorder, what to mark down and which loyal customers are lapsing, without waiting for month-end.

Module 6

Task management

The problem
Cross-department requests were lost in chat threads, with no clear owner, deadline or follow-up.
What I built
Tasks with sub-tasks, deadlines, watchers and approval flows, plus email alerts, a daily summary and a team performance view for managers. It installs on mobile as an app.
What changed
Every request has an owner and a due date, and managers can review team output over the last 7, 30 or 90 days.

Module 7

F&B operations

The problem
Shift checklists were paper-based, recipe costs were estimated, and purchasing and wastage were not tracked.
What I built
Mobile shift checklists with photo verification, recipe costing linked to a central ingredient price book, purchase requests with approvals, and wastage logging by quantity, with costs visible to managers only.
What changed
A single price change updates every recipe, keeping menu margins current and operating standards easy to audit.
